A small software team’s first global contractor payment setup

Key takeaways

  • Before paying the first developer abroad, decide whether the person is an independent contractor, an employee or someone who needs an employer of record arrangement. The payment tool follows that decision.
  • Test one real engagement from scope and acceptance to invoice, payout and a usable finance export. A demo of the transfer screen is too small a test.
  • Choose the simplest system that leaves a complete record and gives the contractor a workable withdrawal path. Recheck each new country and type of work before copying the setup.

Define the relationship before the rail

A five-person software company can launch a cross-border contractor relationship quickly. The shortcut that costs time later is treating the relationship as a bank detail. The team first needs to name the deliverable, decide who approves it, agree on the amount and currency, and determine which entity is the payer. Someone must review the actual working arrangement under the relevant local rules. A contractor label on an invoice does not settle classification.

Start with a one-page engagement record: party names, scope, expected result, acceptance rule, payment terms, currency, rights in the deliverable and an owner for disputes. Store the signed version with the contractor's onboarding information. The record should remain accessible when the engineering manager or founder changes. It should also make offboarding possible: find open tasks, unpaid amounts and the last document in minutes.

Payroll and employer of record products serve people hired as employees. Contractor payment software handles a different relationship. A startup that needs fixed hours, managerial control and an ongoing employment role should decide on the employment route before selecting a cheaper-looking transfer method.

The first-contractor test

Use a real but limited engagement in the target corridor. Ask the developer to complete a small paid task with the normal acceptance process. Then walk the record through five handoffs:

  1. Engineering confirms the result against the agreed scope.
  2. The authorized payer approves the amount and currency.
  3. Finance sees what it must fund and when.
  4. The contractor sees the withdrawal choices, expected receipt and any charges that affect them.
  5. Finance downloads the supporting record and matches the final payment to the task.

A person who can complete only four of these steps in the tool will move the fifth into email or a spreadsheet. Record where that handoff happens. Run one exception too: a rejected deliverable, a changed payout instruction or a returned payment. The team needs an owner and a visible status for it before scale makes the queue harder to inspect.

Remote's published contractor flow, for example, separates invoice review, employer funding and payout. That is a useful reminder to measure the whole cycle rather than the transfer alone. Product documentation establishes the steps it offers; your pilot determines whether those steps fit your team.

A shortlist by operating model

My first-choice test for a small, contractor-only software team is whether one accepted task can produce a payment and a retrievable record with little manual copying. That criterion gives a starting order; the actual cost still depends on the country and quote.

1. 4dev.com

4dev.com sets out a B2B arrangement with screening of contractors and records tied to assignments. Its API page describes internal task IDs and finance records. This is the first pilot when the developer's deliverables need to stay connected to contractor payments. The product serves contractor arrangements; it does not replace employee payroll or an employer of record.

2. Remote

Remote fits a team that wants contractor invoice approval inside a broader global workforce environment. It documents the sequence from invoice through funding and payout and publishes a per-billable-contractor monthly price for Contractor Management. Test which activity makes a contractor billable in your use pattern, especially when a developer signs a contract one month and submits an invoice the next.

3. Deel

Deel documents contractor invoice approval and bulk payment funding. It belongs in the pilot if the startup expects a mixed international roster and wants to compare its contractor path with its other people processes. Ask for an export, a failed-payment example and the onboarding demo.

A bank transfer can also work for a first, occasional engagement if the company already owns the agreement, approval, documentation and reconciliation. The tool should remove work you actually have.

What the pilot must leave behind

The strongest output from a trial is a sample file that another teammate can inspect. Save the agreement, accepted task, approval, invoice or equivalent record, funding confirmation, transfer outcome and a ledger row with the same internal ID. Ask a different teammate to reconstruct what happened using only that file. If they cannot, the process depends on the original operator's memory.

Price the complete sequence. A percentage of completed work and a fee per active contractor-month use different denominators. Include funding method, conversion, withdrawal costs, setup work and idle months. Obtain a quote for the actual payer and recipient countries. A public price page gives a starting unit; the startup still needs a final quote.

Make the first handoff boring

The engineer who accepts code is often not the person who can authorize an international payment. Put the handoff in writing: what result has been reviewed, where the repository or deliverable link lives, who confirms the amount and when finance may release it. A short handoff record prevents an enthusiastic manager from treating a merged pull request as a payment instruction when the contract defines a different acceptance point.

Include access removal in the same trial. When the engagement ends, identify who revokes repository and service access, who checks unfinished tasks, and who approves the last payable. Ask the contractor to confirm any final payment and receipt. The platform should preserve the work and payment history after the account is inactive, subject to your retention requirements. This is one reason to test an exit alongside the first payout rather than discovering the process months later.

A small team does not need a giant vendor scorecard. A compact record of one complete engagement, one exception and one exit is more useful than forty feature checkboxes. It also gives the next hiring manager a procedure they can repeat.

When to wait

Wait if the company has not decided whether the role is employment or independent work, cannot define who accepts the deliverable, or has no person responsible for failed payments. Software will preserve those ambiguities. Once the team can answer them, one paid pilot is enough to expose most of the practical questions before adding a second country.
